Shifts, templates and handovers

Plan recurring shifts, assign staff and close each one with a checklist.

5 min readUpdated

A shift is the container for everything that happens at a station between two handovers: readings, deliveries, takings, attendance and exceptions.

Templates

Create a template for each recurring pattern, for example a morning, afternoon and night shift. Templates define start and end times and can be reused every day, so opening a shift takes a single action.

Assigning staff

Assign attendants and cashiers to a shift and, where you use them, to specific pumps. Attendance is recorded against the shift, which matters when variance needs to be explained.

Closing a shift

  1. Capture closing meter readings

Every active nozzle needs a closing reading. Test returns, fuel pumped and poured back during a calibration check, are entered separately so they are not counted as sales.

  2. Record tank dips

Dip each tank or record the electronic tank gauge reading.

  3. Declare takings

Enter what was received by payment method.

  4. Review variance

Petronyx shows stock variance per grade and per nozzle, and the difference between declared and expected takings.

  5. Hand over

A manager approves the close, adding notes or evidence for any variance. The next shift opens from these closing figures.
